We are seeking a highly organized and proactive Administrative Assistant to support our Commercial Operations. This role is integral to ensuring the smooth running of our branches, efficient financial coordination, staff welfare, and successful management of events and hospitality.

Roles & Responsibilities:            

Commercial Operations:

  • Supply Management: Ensure branches are consistently stocked with day-to-day supplies to maintain seamless operations.
  • Compliance Monitoring: Ensure all commercial employees adhere to PPE and uniform policies, maintaining a high standard of compliance and safety.
  • Warehouse Maintenance: Oversee the upkeep of warehouses, coordinating with Procurement for any necessary repairs and maintenance to ensure optimal operation conditions.

Finance:

  • Budget Coordination: Draft and manage budgets for Commercial events, ensuring cost-effective and efficient planning.
  • Rent Management: Track and ensure timely payment of branch rents to avoid any operational disruptions.
  • Invoice Processing: Ensure all invoices are properly approved and forwarded to the finance department for timely payment processing.

Employee Welfare:

  • Welfare Coordination: Ensure employee welfare practices are consistent with company standards, promoting a positive and supportive work environment.
  • Supply Management for Operations: Guarantee that Logistics Centres (LCs) and retail branches are well-stocked with essential items, including cleaning materials, PPE, and water, to support smooth operations.

Skills and qualifications:

  • Diploma in Business Management or related field.
  • At least 2 years experience in an administrative role.
  • Strong organizational and multitasking skills to handle various administrative tasks efficiently.
  • Excellent communication and interpersonal skills to interact effectively with staff, suppliers, and visitors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management systems and procedures.
  • Attention to detail and problem-solving skills to ensure high-quality administrative support.
  • Adept at negotiation and able to handle specific procurement assignments.
