The Location Lead reports to the COO. Key Responsibilities

Business Development & Sales

• Have knowledge of the coworking industry and industry trends; know Ikigai competitors and their products and services
• Responsible for revenue generation across all offerings at home location including:
  • Independently generating leads for Ikigai’s offerings in collaboration with BD & Sales Manager
  • Providing compelling tours of The Space and distributing marketing materials
  • Closing new deals independently and in collaboration with other team members
  • Proactively managing member retention strategy
  • Proactively upselling Ikigai memberships and services
  • Ensuring BD & Sales data is entered into CRM for deals
• Pull in and support other Community Team members to close private office, communal and conferencing deals
• Support sales strategy development and tailor to location

Community & Member Management

• Emulate Ikigai culture and values to Ikigai members; ensure an exceptional experience for everyone who walks through our doors
• Greet and welcome guests and members at the location; ensure front desk coverage during business hours
• Proactively mitigate member issues including anticipating and resolving root causes; understand how to escalate member matters based on urgency, importance and complexity

  • Holding meetings with private office members

  • Collaborating closely with Hospitality & Wellness team to implement formal member feedback initiatives

Facilities, Projects & Operations

• Ensure location aesthetics standards are maintained including conducting regular walk-throughs and assisting with housekeeping
• Follow Ikigai processes, procedures and guidance on use of systems to ensure smooth running of location
• Directly oversee day-to-day location facilities management in close collaboration with Facilities & Projects Team
• Be aware of and maintain sustainable practices at location (e.g. manage electricity use, avoid single-use plastics, reducing paper product consumption)
• Provide thought partnership on Expansion Projects

Team Management

• Emulate Ikigai culture and values to location team and wider team
• Directly manage location team members including Community and location teams
• Work closely with People & Culture to hire and onboard for location
• Design and conduct training for Community Team across locations
• Build and maintain community within location team
• Handle location team disciplinary matters in collaboration with People & Culture team
• Work with Hospitality & Wellness team, F&B Supervisor, Facilities & Projects Manager to provide F&B services day-to-day oversight

Finance

• Ensure all finance and accounting procedures are followed accurately and consistently
• Develop a deep understanding and ownership of location P&L
• Assist management team with preparation of location budgets
• Collaborate with Finance and Facilities & Projects teams on cost control and cost saving measures at location

Strategy

• Provide thought partnership to senior leadership on company-wide strategy including participating in planning and budgeting
• Responsible for insights, recommendations, and implementation of company and location strategy including understanding company strategy, identifying trends based on insights at location, and making and implementing approved business cases for improvements and ideas
• Analyze and draw out insights from financial and operational data to make better informed recommendations and decisions

The Community Team role

Key responsibilities

Community & Member Management

• Ensuring an excellent experience for anyone who walks through our doors, from our members to delivery riders
• Greet and welcome guests and members at the location and cover the front desk during business hours
• Enroll new members and provide a thorough member onboarding experience including assisting with move-ins
• Solve member-related issues together with the location Community Team to ensure a cohesive community, including fielding requests submitted through the Ikigai member app
• Work on community initiatives designed to develop connections between members, including member introductions, event support, and email communication
• Support in organizing community events that create and enhance our members' businesses, lifestyles, and our membership offering
• Collaborate with and support the events team to ensure that all location events, meetings & conferences run smoothly
• Collect member feedback through informal conversations to continuously improve Ikigai’s offerings and spaces
• Renew memberships, generate new invoices, process payments, and follow up on collection of receivables from members
• Securely maintain member documentation and ensure confidentiality
• Manage the other 1000 little details that go into running a membership-based office

Sales & Business Development

• Schedule and conduct compelling tours of The Space for prospective members and non-member conferencing, focusing on the members’/non-members’ business and their needs
• Prepare and distribute tailored marketing materials to guests and potential members including customized proposals for private offices
• Track enquiries, walk-ins, tours, and other sales-related data, follow-up with leads, input data in the company’s CRM as appropriate and report during sales meetings
• Attain new memberships for the location including closing deals and preparing contracts

Facilities & Operations Management

• Manage the company postal mailbox and ensure that mail is regularly collected and delivered to members in a timely fashion
• Support the housekeeping team to maintain cleanliness of the workspaces
• Work with the location team to manage stock-taking and ordering of supplies and consumables, and report on expenses
• Assist the facilities team in building/site operations and maintenance to ensure highest level of member experience
• Identify issues for escalation, support resolution, and document accordingly

• Ensure that all events run smoothly specifically through forward planning and preparedness, and coordinate all activities during and after the event including assisting with set-up and close of events, including food, beverages, and furniture

• Work with the Community Team to ensure consumables required for events and meetings are available and coordinate with event suppliers

• Ensure that all meeting spaces are maintained throughout the year by reporting breakages or fixes required

Event Partnership Management

• Research and reach out to potential partners for Ikigai, and draft proposals for follow-up conversations
• Assess proposals shared by potential partners and present them to the Business Development Manager and CEO for consideration
• Execute event partnerships based on the terms of engagement, including supporting marketing activities and partner relationship management

Administrative

• Technical problem-solving when needed, including the ability to test and troubleshoot minor issues with the meeting room facilities, appliances, printers, and wireless networks among others

Education and Experience

You already have an understanding of the market and our competitors, or are excited to learn this quickly! You have excellent communication skills, know how to strike up a conversation with anyone, can comfortably & adaptably ask questions to get the information you need to help solve someone's workspace needs, and are confident making lead qualification decisions.

Key Responsibilities

Be an Ikigai brand ambassador

• Be the first point of contact for sales leads coming through on email and the phone
• Represent the Ikigai brand well by demonstrating friendliness, desire to understand a lead's business & workspace needs, and helpfulness to determine if & how Ikigai can help solve the potential member's need
• Initiate the sales process with potential members over the phone and online, focusing on lead qualification

Independently qualify leads

• Understand and follow Ikigai’s lead qualification approach and guidance to determine key information about the prospect’s business needs including budget, timeline, decision makers, etc.
• Review & reply to all inbound sales leads within one working day to determine legitimacy and appropriately follow next steps for lead qualification
• Identify high-potential deals and ensure quick action is taken
• Qualify sales leads to determine business need, Ikigai offering(s) that are a fit, and other relevant information via phone call or online channels
• Build Community Team and Events Teams' sales pipelines, and reassign deals and contact owners as business needs are identified
• Coordinate and schedule tours of our Spaces for potential members, event customers, and conference bookings
• Provide a smooth handover to the appropriate Community and Events Team members after scheduling tours

Manage sales information using a CRM

• Utilize Ikigai’s CRM to capture detailed information in real-time about sales leads and track progress
• Ensure data is kept up to date throughout the stages of the sales cycle you're involved with
• Update, analyze and consolidate daily, weekly, and monthly reports that clearly highlight areas for management input & support, and actionable next steps
• Share feedback promptly with the Sales & BD Manager should any issues arise with the CRM

Education and Experience

Education

• A college graduate with a four-year degree preferred but not required

Experience and Requirements

• Demonstrated understanding of and experience following the sales cycle from lead generation to closing
• Experience with B2C sales required; B2B sales experience a plus but not necessary
• Experience using CRM to track sales leads throughout the pipeline

• Work with the Community Team to ensure consumables required for events and meetings are available and coordinate with event suppliers
• Work with the Community Team on community initiatives designed to develop connections between members, including member events
• Carefully collect and track event and meeting data and make data-driven decisions
• Prepare event budgets and expense reports
• Drive sales of all events and ensure high attendance and satisfaction of all attendees
• Field event requests submitted through the Ikigai app, website, walk-ins, and tours
• Maintain events visitor database

Conferencing Management

• Develop a conferencing strategy for external members to enjoy Ikigai indoor and outdoor conferencing facilities
• Coordinate all conferencing activity across locations to create an exceptional and consistent service offering
• Ensure a friendly and professional experience for users of meeting spaces
• Ensure that all meeting spaces are maintained throughout the year by reporting breakages or fixes required
• Carefully collect and track meeting data and make data-driven decisions

Event Partnership Management

• Research and reach out to potential partners for Ikigai, and draft proposals for follow-up conversations
• Assess proposals shared by potential partners and present them to the Business Development Manager and CEO for consideration
• Execute event partnerships based on the terms of engagement, including supporting marketing activities and partner relationship management

Administrative

• Technical problem-solving when needed, including the ability to test and troubleshoot minor issues with the meeting room facilities, appliances, printers, and wireless networks among others.

Education and Experience

Education

• A college graduate with a four-year degree preferred

• Understanding of the importance of networks, human interactions, and experiences and how they come together to build a community
• Punctual, professional, thorough, and entrepreneurial
• A quick learning self-starter that works well in a fast-paced, start-up environment
• Highly organized and efficient, with excellent time management skills and the ability to prioritize tasks effectively when everything is happening at once
• An individual that doesn’t just show up to work at the office, but owns the office, taking pride in managing every little event detail of the meeting and event spaces, calendar, and networks
• Collaborative and engaging, likes to work in a team, but also independent and gets the job done, no matter what is required
• Adaptable and innovative, owning mistakes and moving on
• Events management and coordination experience preferred
• Customer service experience a plus
