MAIN RESPONSIBILITIES OF THE JOB

Coordination/Operational Responsibilities

• Conduct Research and Development for new business/projects in the FMCG industry.
• Set up end to end operations for the current existing FMCG projects through acquiring product knowledge, creating business structure, preparing legal documents, price analysis, costing, arrangement for shipment and importation of products, logistics control, stock and demand control, payment process management, supporting sales promotions and marketing activities.
• Prepare presentations and proposals of market information, regulatory and business scheme.
• Understand the direction and strategy of each business/project and implement them by collaborating with other project members and colleagues.
• Provide and share reports timely and proactively whenever milestone progress and/or important aspects are observed with all relevant parties.
• Organise and participate in meetings with stakeholders (including suppliers, customers, distributors, business partners, CFAO Head Office, TTC Head Office), and internal project members and colleagues.
• Maintain effective working relationships with the project’s members and stakeholders.
• Liaise with CFAO Head Quarter and TTC’s relevant department to share the activities on country level and ensure the same understanding.Report on all activities, progress and challenges.

New Projects Support

• Execute necessary R&D process to materialize the projects in the pipeline and new projects which may arise.
• Understand the direction and strategy of each business/project and implement them by collaborating with other project members and colleagues.
• Learn about the projects in pipeline and new projects, such as renewable energy) etc., and make proactive proposal whenever necessary.
• Engage and collaborate with related business partners, suppliers, customers to develop the projects.
• Organize and participate in the meeting with stakeholders, business partners, customers, project members and colleagues.
• Prepare necessary presentation documents, travel reports, meeting minutes, and monthly report.
• Understand financial reporting of Project Division and review on turnover, gross profit, expenses and so forth.
• Prepare the budget for Project Division.
• Check the project progress and make timely reports.
• Coordinate e-Visa application, logistics and accommodation for visitors coming to Kenya/EAC together with project members of the related divisions and colleagues of Project Division.
• Prepare itinerary for visitors, make necessary appointment for the visits and meetings.

KNOWLEDGE, SKILLS AND EXPERIENCE

• Bachelor’s Degree in Business, Project Management, or any other relevant qualification
• CPA (Part 1) Qualification will be an advantage

Minimum level of experience required to perform effectively in the role

• At least 5 Years working experience in FMCG/ General Trading
• Experience in new product/OEM product quality control/Importation and Exportation preferred

MAIN RESPONSIBILITIES OF THE JOB

Research

• Plan and commission consumer research (qualitative and quantitative) to research agencies.
• Conduct consumer research (qualitative and quantitative) and explore consumer needs from the results.

Product and Material Development

• Understand product structure and propose and implement product improvements to meet consumer needs.
• Understand the machinery used to manufacture products and consult with engineers on equipment modifications to produce desired products.
• Understand the materials used and be able to select and develop appropriate materials in conjunction with suppliers.

Design and select materials for packaging and cartons.

• Understand package printing technology and be able to make appropriate improvement requests to packaging companies in case of printing problems.

Others

• Product Improvement through direct observation and analysis of used diapers and sanitary towels (Involves checking used products, understanding actual usage, and identifying areas for product improvement).

KNOWLEDGE, SKILLS AND EXPERIENCE

JOB PURPOSE

• The purpose of the job is to increase the sales of our solutions through customer visits, proper reporting & close collaboration with the dealer.

Operational Responsibilities

• Sale of new units Trucks or any other brands the company may introduce
• Efficient use of SSI, DSSW/Product knowledge, E Learning and CRM achieving 100%
• Procure LPO and or payments of new sales deals
• Attend to showroom traffic
• Attend to company events as and when required
• Achieve monthly sales targets
• Prepare and present quotations to prospective customers, keeping within authorized discounts
• Delivery of new vehicles to customers
• Collect market information on market trends and shifts to assist in accurate ordering of new models, and update our database
• Submit activity report to the Sales Manager – MB Trucks & Bus on daily basis

• Actively follow up on new leads and referrals resulting from showroom, field activities and promotions to build prospects and close sales;

• Prepare sales calls programs for appointment bookings with prospective clients to facilitate sales plans;
• Maintain regular contact with clients to promote retention and generate referrals and new business opportunities;
• Consistently update customers on sales order progress, respond and resolve customer queries in a timely manner to ensure customer satisfaction and retention;
• Advise clients on financial packages available through partner financial institutions (Loxea and banks), and assist the clients in filling the required documentation to ensure the sales deals are closed;
• Liaise with Finance to ensure payment terms are clearly agreed and communicated to the customer, and proper finance documentation, to minimize customer complaints and enhance the closing of sales deals;
• Follow up on vehicle registration documents including logbooks to ensure the documentation is availed to the customer in a timely manner for enhanced customer satisfaction and retention;
• Actively participate in promotional and customer training activities to market the company's products and services to increase product awareness for enhanced sales;
• Provide information to management and the marketing team on market intelligence to assist garner information required to develop aggressive marketing and sales strategies for the CFAO Mobility brands;
• Submit accurate daily/weekly deliveries and order intake data to the sales manager to keep track of the monthly sales targets as per budget

Managerial/Supervisory Responsibilities

• Coordinate the procurement of goods and services to ensure the procurement department supports the implementation of the KVM business strategy, as well as compliance with the relevant laws and regulations.
• Develop and implement sourcing strategies/Policies to ensure the responsiveness of the department operations in the implementation of the KVM business goals.
• Initiate and manage relationship with key stakeholders for enhanced ease in procurement
• Monitor the implementation of PACI and ISO 9001:2015 recommendations to ensure compliance in procurement processes.
• Prepare periodical reports on the procurement function to report on progress and challenges experienced.
• Co0rdinate the procurement plans to ensure timely preparation and implementation.

Operational Responsibilities

• Coordinate the management of supplier contracts and Service level agreements to ensure KVM is protected from risks.
• Implement regular reviews of sourcing options to identify sources that deliver value for money for KVM
• Coordinate support to user departments to ensure user departments are assisted in the development of accurate and timely resource projections
• Conduct market research to advise in the annual procurement planning process, and implement a market intelligence program that advises on commodity prices and supply benchmarks
• Coordinate the development and maintenance of a supplier master file, and lead the determination of an optimal number of active suppliers to enhance the responsiveness of the department to user needs
• Supervise the implementation of periodic validation exercises of procurement plans and buying schedules with user departments to ensure plans and schedules are accurate and current in support of business operations
• Enforce the use of systems and eliminate all other off – system processes to enhance efficiency and effectiveness in the procurement process
• Consolidate the KVM annual procurement forecast and budget through the consideration of the input received from the various functions in KVM, to ensure adequate and timely allocation of resources required for the implementation of the procurement plan
• Ensure that staff in the function are trained and developed in line with both individual and organizational growth goals, to ensure achievement of business objectives.

Job Description:

The successful candidate will assist in managing the credit control process by ensuring timely collections, monitoring outstanding accounts, and ensuring that credit granted to customers is effectively monitored and controlled.

Requested profile:

KEY RESPONSIBILITIES

Accounting and Internal Controls

• Matching/reconcile client accounts so that they properly reflect what is outstanding
• Deletion of customer accounts with authorization from credit controller
• Communicating on the due accounts before the due date and ensuring overdue accounts are frozen

Posting receipts and matching of accounts

• Posting payments received into the clients' accounts
• Monitoring and maintaining customer accounts, updating records with payments received, and ensuring account information is accurate.
• Allocating payments in accordance with customer remittances
• Reconcile customer accounts by resolving discrepancies or disputes related to payments, invoices, or credit notes.
• Addressing customer queries related to invoices, payment terms, and account balances to ensure a smooth payment process.
• Following up for short paid and skipped invoices

Credit control and debt collection:

• Ensure that all accounts on credit have been properly authorized as per the client's management procedure regarding accounts opening
• Assist the credit controller in debt collecting at the head office as well as the branches 
• Monitor closely the cash sale account status for head office and the branches and ensure that none is outstanding
• Working on strict monthly and annually collections targets
• Calling customers on follow up of debts as per instructions given by the credit controller
• Providing general administrative support to the credit control team, such as filing, and maintaining accurate records of credit control activities

JOB PURPOSE

Provide operational support of Environment, Health & Safety (ESH) Activities to the ESH Manager. Maintain and retrieve data from the existing management system for ESH reporting. The role shall support EHS Manager to monitor on the safety of staff, visitors, contractors and customers. In addition, the role shall provide support to environmental management plans to assure protection of the environment and biodiversity, pollution prevention and control. The scope for the role will include all CFAO Group Companies in Kenya.

MAIN RESPONSIBILITIES OF THE JOB

Managerial/Supervisory Responsibilities

• Maintain and manage a Master Document Control List for EHS documents (policies, procedures, work instructions, forms, records and documents of external origin) and ensure it is updated regularly.
• Manage the renewal process of permits and licences and other requirements that have an impact to Environment, Health & Safety activities in a timely manner by maintaining a register for legal requirements.
• Develop and implement health and safety plans, capture daily/weekly data on key environmental aspects of water usage, electricity consumption, waste generation for analysis and any other information that may have an impact to Environment, Health & Safety activities.
• Keep a log of all incidents as reported by the emergency response teams.
• Coordinate and participate in audits and document actions to remedy audit findings. Follow up on corrective actions planning. Provide regular update on progress of departmental internal audits to EHS manager.
• On emergency response, keep an active log of the inventory of first aid kits across all company locations. Update contents of First Aid kits (in line with the First Aid Rules) regularly from each location.
• Monitor and maintain the statutory inspection schedules for lifting equipment, pressure vessels and any other equipment, which have an impact to health and safety of the users. Update the inspection schedules and ensure repairs and maintenance activities are done.
• Fill out purchase requisition forms, seek approvals from respective designates and ensure ESH requisitions are generated on time. Follow through to ensure invoices for services rendered are received and processed for payment.
• Maintain EHS schedules of activities and branch visits.

Operational Responsibilities

• Act as Secretary to the Company Safety & Health Committee
• Support on incident investigation, to ensure that information is recorded accurately and reports are generated and circulated within the required timelines.
• Communicate and follow up with EHS suppliers and service providers.
• Perform any other functions and activities as required.

• Minimum level of academic and professional  qualification required to perform effectively in the role
• Bachelor’s Degree in Science, Engineering, Environmental or Public Health or an Occupational Safety and Health relevant course from a reputable institution.
• Competency in MS Office Applications.

• At least 5 years of relevant experience in EHS.

• Perform emergency repairs and corrective actions to minimize production interruptions
