Key Responsibilities:
Support in Procurement Processes:

Supplier & Vendor Management:

Strategic Operations Oversight

Location Identification and Acquisition:

• Identify suitable sites for new centers, conducting feasibility studies on market demand, competition, and demographics.
• Negotiate leases in collaboration with the finance team.

Clinic Design and Build-Out:

• Manage architects, designers, and contractors to ensure timely and cost-efficient build-outs.
• Oversee procurement and installation of IT infrastructure, networks, CCTV, medical equipment, and furnishings.

Technology and Infrastructure:

• Oversee installation of IT systems, ensuring new locations are integrated into Penda’s EMR system.
• Ensure the new location's online visibility on the website and platforms like Google Maps.

Task Assignment & Committee Collaboration

• Take ownership of key operational tasks (e.g., medical supplies procurement, clinic construction).
• Delegate tasks effectively to committee members across facilities, finance, procurement, and HR to ensure timely completion.
• Work closely with the Co-Chair - IPS and department heads to coordinate task handovers and resource allocation.

Budget & Financial Accountability

• Collaborate with the finance team to develop and track budgets for each new center, ensuring efficient cost management.
• Monitor expenses related to build-out, procurement, and IT, reporting budget status regularly to senior leadership.

Risk Management & Continuous Improvement

• Identify and mitigate risks associated with new center openings (e.g., construction delays, regulatory challenges).
• Lead post-opening reviews, capturing lessons to enhance future center openings.
• Ensure operational practices comply with healthcare regulations and safety standards.

Key Qualifications, Skills & Education

• Educational Background: Degree in business administration, healthcare management, operations, or a related field.
• Experience: Minimum 4 years in operations or project management, with a track record managing complex projects involving multiple stakeholders.
• Regulatory Knowledge: Strong understanding of healthcare facility regulations and compliance in Kenya.
• Leadership and Decision-Making: Excellent skills in leading and decision-making, with a focus on high-quality operational execution.
• Financial Management: Proven experience in budgeting and financial oversight.

SUMMARY OF POSITION

The Treasury Accountant at Penda Health will be responsible for overseeing financial management, including loan obligations and covenant compliance, intercompany transactions, and petty cash support. Reporting directly to the Head of Finance, they will manage the treasury function, negotiate foreign currency deals, monitor and report on the company’s cash flows, manage internal and external payments, and review prepayments and accruals. Additionally, the role involves financial planning, budgeting, and forecasting, stakeholder relationship management, financial reporting functions for both Penda Health and its affiliated entities, and leadership of the treasury department. The Treasury Accountant will serve as a vital link between finance and other departments, collaborating to develop and execute financial strategies that align with the organization's overall objectives

RESPONSIBILITIES:
Key Responsibilities:

• Oversee day-to-day operations of the treasury department and provide support to other teams as needed.
• Act as the Bank Agent, negotiating foreign currency deals with banks, and drafting/presenting bank letters and instructions.
• Manage appropriate procedures and processes around month-end and quarter-close activity.
• Constantly monitor the loan interest schedule to ensure timely compliance with all loan obligations..
• Ensure day-to-day conduct and supervision of cash management activities adhere to internal controls, policies, and procedures.
• Recommend and implement improvements to cash management processes and identify cost-saving and profit-maximizing opportunities related to treasury.
• Communicate and liaise with all departments on their cash needs, ensuring a smooth flow of payments and ensure timely payments to internal and external partners following established mechanisms.
• Conducting comprehensive cash flow planning and forecasting to provide strategic guidance for decision-making.

QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS

• Bachelor's degree in Business Administration, Finance, Accounting, or a relevant field.
• Relevant professional qualification: ACCA/CPA/CA and membership in a relevant professional body
• Minimum of 5 years of hands-on experience in cash flow management, liquidity analysis, and financial forecasting is crucial for effective treasury management.
• Ability to work autonomously, detail-oriented, efficient, and able to multitask, prioritize, and follow projects through to completion.
• Strong knowledge of and ability to manage banking relationships and covenants.
• Proficient in computer software, including Excel and other advanced accounting/ERP systems. Experience with new system implementation is an added advantage.
• Excellent leadership, task management, planning, and organizational skills.

Responsibilities:

• Conduct follow-up calls for high-risk and well-baby patients to monitor progress, ensure treatment adherence, and provide guidance to improve health outcomes and patient satisfaction. 
• Collaborate with Penda's healthcare team to ensure comprehensive patient care. 
• Perform virtual consultations and triage as or when needed via Pigia Penda. 
• Deliver home-based nursing services, including wound dressing, injections, and other essential care, ensuring patients receive timely, quality care at home.
• Accurately record patient data in real-time using Penda’s electronic medical record. 
• Deliver quality patient education and ensure a positive patient experience. 
• Embrace and develop within Penda’s evidence-based protocols, participating in continuous professional development.

Requirements for the Role:

• Diploma in Nursing - KRCHN holding a valid practicing license from NCK. 
• Valid BLS certification is mandatory, ACLS is an added advantage 
• Minimum of 1 years experience in a busy Healthcare Facility
• Minimum of 1 year experience in a healthcare call centre.
• Demonstrated experience in MCH/FP 
• Good communication (written and verbal) skills, outstanding patient interaction skills.

Role Summary:
The Clinical Coordinator at Penda Health Plays a key role in ensuring an exceptional patient experience through effective patient interaction, streamlined communication, and meticulous documentation and billing practices. From warmly welcoming patients to proactively addressing concerns and managing inquiries, this role plays a vital part in optimizing the front desk activities for increased workflow efficiency.
Responsibilities:
Patient Interaction

• Welcome & greet patients warmly to create a friendly environment and great patient experience
• Address patient complaints promptly, escalating issues to Branch Manager when necessary for timely resolution
• Manage wait times efficiently by keeping patients informed about their queue status. Proactively address issues causing delays, such as emergencies or system failures
• Manage inquiries & provide clear and accurate information about services, products, and pricing
• Ensure effective communication with other departments (Nursing, Laboratory, Medical Providers, Pharmacy Technicians, etc.) regarding patient visits while maintaining confidentiality

Communication and Administrative Efficiency:

• Professionally manage incoming calls, ensuring quick issue resolution and accurate information
• Receive external communication, alert Branch Managers, and manage inquiries and escalations received at the reception. This includes interactions with partners like Insurance, Corporates, county & government officials, etc

• Manage various payment methods (Cash, Insurance, NHIF, Corporate partners), consulting or escalating when necessary
• Ensure adherence to medical billing and insurance protocols, maintaining compliance with guidelines, EMR procedures, and partnerships
• Handle registration, documentation, billing, and credit processes, including accurate submission of insurance claims, patient enrollment, and redemption on the Penda Points Program

Training and Company Adherence:

• Participate in scheduled physical, virtual & Talent LMS training sessions, within the stipulated timelines
• Demonstrate continuous understanding and adherence to company policies, especially those associated with Penda in general and the CC function

Key requirements and attributes

Job Summary:

We are looking for a highly motivated and detail-oriented Junior Business Systems Analyst to support the optimization and management of Penda Health’s IT systems and processes. In this role, you will work closely with senior team members to analyze business needs, recommend technological solutions, and assist with the implementation of innovative healthcare IT initiatives. You will also engage with front line staff to understand their challenges, dig deep into existing systems to improve them, and contribute to the overall efficiency of the organization.

Key Responsibilities:

• Process Improvement: Assist in gathering and documenting requirements, creating process models, and participating in user feedback sessions to streamline business processes.
• System Monitoring & Support: Monitor system performance, troubleshoot issues, and provide technical support for software applications, particularly EMR and ERP systems.
• User Training & Documentation: Help develop user guides, train staff on new features, and ensure smooth adoption of system updates and enhancements.
• Vendor Coordination & Testing: Work with external vendors on application updates and patches, and assist in testing new features for seamless implementation.

Pigia Penda is the official Penda Health Call Center Platform handling both Telemedicine and General Customer requests virtually. We are searching for caring and smart clinical officers who want to become part of a team of amazing all-around, evidence-based clinical officers. Being a clinical officer at Penda Health includes a lot more than your usual job. You treat patients independently and make your own decisions, with the support of guidelines, technology and clinical mentors.

Responsibilities:

• Provide comprehensive and high-quality clinical services to patients through telemedicine.
• Answer all incoming calls in a professional manner and ensure that callers’ issues are resolved well, given the right information and within a short time possible.
• Conduct effective follow up calls to all patients who were treated within  the past 72 hours from the Medical Centres.
• Through phone triage, create a phenomenal patient experience and provide satisfactory advice/consultation to all patients who call our call centre.
• Initiate drug delivery as part of telemedicine efficiently, professionally, within the given time and in line with the prescription SOP in order to achieve the call centre goals.
• Ensure there is proper documentation in all the required documents, such call forms and EMR.
• You may be assigned additional tasks within the call centre by the Pigia Penda Manager or the Pigia Penda Medical Provider in Charge.

SUMMARY OF POSITION:

We are looking for a Fixed Asset Junior Accountant who will be responsible  to  maintain an accurate record of all the assets owned by the company and their value and maintenance of the capital budget for all assets.

RESPONSIBILITIES:

• Prepare monthly reconciliations of fixed asset data in Excel with General Ledger balances for all medical centers and the support office.
• Ensure all assets are accurately recorded and their locations properly tracked.
• Conduct periodic physical stock takes of fixed assets as required
• Maintain an accurate fixed asset register
• Manage asset transfers and update locations as necessary.
• Ensure that all assets are categorized into the correct fixed asset class.
• Ensure compliance with accounting policies.

QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS:

• Bachelor's degree or Diploma in Finance,Accounting or Business Administration
• CPA II certification
• Proficiency in Microsoft Excel
• Strong team player with effective problem-solving abilities.
• Strong analytical and ledger reconciliation skills.
• 1-2 yrs experience working as an accountant in a busy organization. Experience in FAR accounting is an added advantage.

Role Summary:

Nursing Officer at Penda ensures the best quality of service and excellent patient experience through standardized patient triaging, management of emergencies, best MCH/FP services as well as other out-patient procedures.

Responsibilities:

• Provide comprehensive and high-quality clinical services. This includes initial assessment of patients, triaging, MCH/FP and nursing procedures as well as administering IV or IM medications using nursing best practice. 
• Ensure the Medical Centre is always ready and well stocked with supplies and equipment, including well-packed clean and sterile items to attend to general and emergency cases. 
• Be an Infection Prevention and Control Champion by implementing IPC best practices and Penda Health’s IPC protocols
• Accurately and comprehensively record patient data in Penda’s electronic medical record in real-time. 
• Complete the necessary MoH reporting requirements and ensure timely and accurate submission. 
• Provide quality patient education and excellent patient experience to all clients.
• Embrace, learn and develop in an evidence-based medical system in line with Penda’s developed protocols.
• Participate in continuous professional development to stay current with advances in medical practices and technology.
• Work with the nurse officer in-charge and/or branch manager to identify areas for process improvement and implementation of best practices (continuous improvement)  to enhance overall clinical/nursing operations.
