What you will bring

Education and Experience:

• Grade 12 (Secondary School Certificate)
• Additional certifications in office administration or facilities management are an advantage
• At least 2 years of relevant experience in a receptionist, administrative, or customer service role, ideally in a facilities management or corporate environment
• Experience in a client-facing or front-desk role is highly desirable

What you will be doing

You will be responsible for the following:

Reception and Front Desk Duties

• Greet visitors, employees, and contractors in a professional and welcoming manner
• Manage visitor sign-ins and direct them to the correct location, keeping accurate visitor logs
• Answer and route phone calls to the appropriate departments, taking messages when necessary
• Receive, sort, and distribute mail, packages, and deliveries to the relevant parties

Administrative Support

• Schedule appointments, meetings, and events, ensuring no scheduling conflicts
• Input and update data such as visitor logs, incident reports, and site-related information
• Organize and file documents (both physical and electronic) for easy access and retrieval
• Draft emails, letters, and other documents as required

Facilities Coordination

• Serve as the main point of contact for facility-related issues or maintenance requests
• Oversee meeting room bookings and ensure they are fully equipped with necessary materials and technology
• Monitor and order office supplies, including stationery, printer cartridges, and cleaning materials
• Ensure safety procedures are communicated to visitors and assist with emergency protocols when needed
• Coordinate with third-party contractors, vendors, and suppliers for repairs or installations
• Assist in organizing company events, meetings, or conferences held at the site
• Ensure office equipment (e.g., copiers, printers) is functioning and well-maintained
• Support facilities managers with generating regular reports on building performance and office utilization

Main purpose / objective of the position:

• CBRE Excellerate Facilities Management is a leading global provider of integrated facilities and corporate real estate management. The Facility Engineer will responsible and oversee hard and soft services in multiple location and ensure that the Service Level Agreements are managed & technical services executed in a way to maximize the value added to the maintenance of their allocated buildings.

Core Duties:

• Manage the maintenance service offered by consultants/contractors to ensure the best interests of the client are met.
• Ensure that statutory requirements of QHSE and local authority regulations are met as per Service Level Agreement.
• Provide input into yearly maintenance budgets, ensure expenditure is adhered to and ensure that all over expenditures are approved.
• Support any projects undertaken by client.
• Implement, maintain, and ensure Planned Preventative Maintenance alongside reactive repairs are carried out in all location.

Key Areas of responsibility:

• Be responsible for Hard Services such as Electrical, Mechanical, Civil Works, Carpentry, Painting, Wood Polishing, Refurbishments BMS Operations, Automatic Doors, UPS, Gate Barriers and Diesel Generators.
• Manage Soft Services such as General Cleaning, Façade Cleaning, Deep Cleaning, Landscape, Waste Management, Procurement, and Business Center.
• Evaluates technical solutions offered by consultants or contractors to ensure best interests of the client are met.
• Drawing up of the annual repairs and maintenance budget in collaboration with the Facility team.
• Correspond with & manage technical services stakeholders – client, contractors, staff.
• Assist with disassembling, inspecting, cleaning, repairing, testing, and installing electrical motors, electromechanical devices, controls, contacts, switches, and other electrical equipment.
• Ensure that complaints are followed up and attended to timeously by accepting all work orders, give direction to the team, request needed approvals from the client and other administrative matters related to the contract.
• Support with troubleshooting and maintenance of the Diesel Generating Sets (DGU)
• Ensure that repairs and maintenance budgets are adhered to and that all proposed over expenditures are approved.
• Ensure all contractors comply with safety legislation and contract obligations.
• Ensure that energy and utilities are used in the most economical way and wastage is minimized.
• Ensure adequate supervision for all mechanical, electrical, plumbing and HVAC related repairs and maintenance in all sites.
• Ensure that Annual Building inspections are performed as applicable to all sites.
• Attend technical meetings.

Qualifications:
Essential

• BSc in Mechanical or Electrical Engineering
• Certified and practicing mechanical/electrical Engineer
• At least 5 years of experience in a similar capacity

Summary

CBRE is seeking a highly organized and detail-oriented Contract Manager to join our team. The Contract Manager will be responsible for overseeing the planning and delivery of all contracted work on site, ensuring compliance with contractual agreements and fostering effective communication flow between all staff members. Additionally, the Contract Manager will manage all people HR activities and address HR-related concerns in a timely manner.

Key Responsibilities:

Contract Management:

• Accountable for the planning and delivery of all in-scope and additional contracted work on site.

Responsible for providing an efficient and effective planned preventative maintenance, reactive maintenance and remedial works programme in a manner that achieves the objectives of the client by proactively administering the workplace services in accordance with the Service Agreement.

• Transfer all hard copy information from operational teams to electronic document management platforms.
• Update DC alert spread sheet on all customer notifications.
• Ensure all DC alerts are closed out for the day unless instructed otherwise by the client.
• Raise all work order and ensure closed as per local KPI and SLA guidelines.

General Administration:

• Ensure high level of customer service is provided and maintained via formal communication, email.
• Ensure that weekly documented audits/ inspections by quality controller are presented to Site manager for signature before filing.
• Action job cards and advise on outstanding job cards and ensure job cards are fully completed and signed off by the requestor.
• All calls to be logged with the help desk.

Essential Education / Experience Knowledge & Skills:

• A Technical N3/4 Certification is a must.

Role Overview:

• To ensure satisfactory delivery of services against contractual terms and conditions, meeting and exceeding client expectations and ensuring the contractual commitments of CBRE are achieved.

• Assist with the submission of subcontractor and extra works quotations.
• Raise extra works purchase orders and send to suppliers and subcontractors.
• Support the tendering process for subcontractors and ensure all necessary service contract purchase orders are raised in a timely manner ready for the services required to operate the facility.
• Compile and submit time sheets.
• Monitoring and reporting of staff absence, update and maintain holiday/absence tracker.
• Assist with arranging staff training.
• Update/maintain contract training matrix.
• Responsible for compiling monthly Contract Reports.
• Assist contract management with filing to update and maintain contract logbooks.
• Deal with sub-contractor invoices and any associated queries, assisting with checking/processing for payment of all CBRE monthly invoices.

• Maintain and review stock levels, spares requirement through audit and timely ordering of parts.
• Ensure all work and contractor are carried out in accordance with CBRE site Health & Safety procedures.
• Ensure all self-performed work and contractors are carried out in accordance with ADC and CBRE site Health & Safety procedures.
• Accountable for the state of the plantrooms to best practice.

Role requirements 

• The Data Centre sites operate on a 24/7 basis as such incumbents may be required to respond operational requirements in line with functional responsibilities. Furthermore, due to the nature of the position and operational requirements of the company incumbents will be required to working according to a Shift Roster, details of which will be communicated by the Management Team

• Direct any out of lines to appropriate channels to address out of line situations.

The successful candidate will have the following background:

• Minimum of 3 years’ experience in a related field. Supervisory Training Certificates
• Recognised Apprenticeship
• Previous experience working in a similar building environment/business.
• Prefer experience relevant experience within the Data Centre
