The Analyst will be part of a team that endeavors to support the Alliance researchers throughout the entire research lifecycle, and also supports the design and implementation of Information Management activities, workflows, processes, and quality objectives around institutional strategic objectives. This position consists of being the main focal point for the Africa region for all matters that are related to Information Management and Open Science. This position will be located at the Alliance office in Nairobi, Kenya.

Responsibilities

• Engage primarily with researchers and project teams in the Africa region and provide the necessary support for their research needs.  
• Work closely with the Data Management Team in developing the TIP platform, and other information/data projects. 
• Collaborate with CGIAR teams and regional organizations as required to further improve information management and open science within the Alliance.
• Become the primary focal point for the Africa region regarding information management and open science.
• Ensure that researchers are kept informed about developments concerning scholarly publishing, open access and information management trends and issues.

The Research Associate – Laboratory Services position is responsible for enhancing team field operations and coordination, ensuring an organized and efficient work environment. The individual will work closely with project leaders and project scientists to manage both office and field activities for ongoing projects in Kenya. This role includes overseeing soil analysis through spectroscopy, as well as the analysis of plants, fertilizer, and manure. Additionally, the Research Associate will be responsible for scheduling maintenance for all laboratory equipment, ensuring that​ all tools and instruments are in optimal working condition to support research activities.

  Main Duties and Responsibilities

• Ensuring the lab and all lab equipment are in working status including availability of required re-agents.
• Coordinating and or receiving, documenting and processing of samples delivered to the lab.

Main Duties and Responsibilities

 Project Support & General Administration

• Working closely with the Grants Management Unit, maintain a database of all project activities in Kenya; maintains a calendar and ensures timely reminders to the Project Leaders and assisting scientists.
• Liaising with Grants and Finance and Treasury Units support the processing of Letter of Agreements (LoAs), seeking clearances, requesting and follow-up on partner payments.
• Manage, review, and respond to the internal and external communication flow ¬drafting correspondence and responding to queries from collaborators and internal clients.
• Ensure that offices are fully set up for new staff including provision of supplies.
• Working with HR, ensure efficient processing of new and renewal of consultancy contract requests, facilitating clearances and following up on consultancy contract payments.
• Providing advice and support for visiting scientists and students to acquire necessary visa and work permit in compliance with existing Kenyan laws.
• Ensure files pertaining to the Alliance Hosting Agreement with other organizations and institutional relations are well maintained and prompt the Regional Operation Manager on expiry of agreements and/or any change of regulations.

Procurement, Fleet Management, Assets, and Insurance matters

• Lead the processing of Procurement requests.
• Ensure timely processing of Pre-Import Permits and Liaison offices for all required clearances, dealing with Custom Agents and delivery and distribution of imported items (seeds, equipment etc.)
• Ensure proper scheduling of the use of vehicles and proper allocation on a daily basis for field activities.
• Review records related to vehicle movement, records and liaise with the Accounts Assistant for chargeback to projects for use of pool vehicles.
• Coordinate and follow-up of service and maintenance of official vehicles, ensuring complete documentation pertaining to official vehicles is filed in the relevant files.
• Managing the process of annual valuation for insurance renewals, follow-up on submission of valuation reports and issuance of insurance stickers
• Manage and keep an updated asset register for Kenya office.
• Manage inventory or warehouse to receive and record new stock of inputs, stationery and other project and office supplies as it is delivered and shipped out.

Travel/Conferences/Workshops/Meeting

• Oversee bookings and liaison with travel agents for tickets, visas, coordinate airport transfers and hotel bookings for Alliance staff and visitors.
• In collaboration with Program Administrators, oversee raising of requests for field travel and ensure adherence to travel authorization process for project staff and collaborators.
• Oversee preparation and invitations for workshop participants, following up on travel and visa arrangements, accommodation, and payments to hotels, and ensure all support documents are filed both electronically and in hard copies.

Safety and Security

• Working closely with Alliance security teams, enforce safety and security protocols and procedures as outlined in the security guidelines to ensure the office and field operations are conducted in a secure environment in relation to organization duty of care.

• Maintain the Risk catalogue and ensure it is up to date.

Treasury Management:

• Maintain good working relationships with the Alliance treasury office regarding bank operations and follow-up regularly to ensure sustainable tariffs.
• Ensure a proper/standard system of petty cash management is applied in the office, with regular reconciliations and cash counts to ensure maintenance of sufficient funds balances to support operations.
• Cross-check and approve online payments on the online banking platform in accordance with thresholds defined determined under the global panel of bank approvers.

Facilitation of Audit:

• Coordinate station audit processes in liaison with the Finance Manager by continuously monitoring documentation and processes.

This position is essential for enhancing the organization's impact on the climate finance landscape and ensuring alignment with policy processes. 

The primary focus of the Climate Finance Policy Expert role is to drive evidence-based research and facilitate its application in policy frameworks related to climate finance and agribusiness. The Communications Specialist will be responsible for overseeing and executing the communications strategy for CGIAR FOCUS Climate Security, ensuring that the initiative's research and policy insights are effectively communicated to global audiences. The role involves strategic leadership, development, and management of communications content across various channels. This position will also include managing and mentoring a Communications Assistant and working closely with research and leadership teams to maximize outreach and impact.

Strategic Leadership

• Develop and lead the implementation of a comprehensive communications strategy for CGIAR FOCUS Climate Security.

Job Description

• The Partnerships department is seeking Associate Officer with proven experience in fundraising proposal development, particularly for large, complex proposals worth over US$2 million. These positions are integral to the Science Engagement and Resource Mobilization team and will directly support Alliance researchers in achieving their fundraising objectives.
• The Associate Officer will report directly to the Senior Manager, Science Engagement and Resource Mobilization, with a secondary reporting line to the Research Area (Lever) Directors. The primary responsibilities include managing all aspects of the proposal development process on behalf of Researchers, such as identifying and pursuing high-priority, high-likelihood fundraising opportunities, coordinating pre-award services from various support units, ensuring compliance with proposal development procedures, and providing procedural guidance throughout the process.
• In this role, Associate Officer will handle all process management, coordination, administration, inter-unit collaboration, and timeline planning activities related to large, priority proposals. This allows Researchers to focus solely on the scientific content of their proposals, knowing that all other aspects of proposal preparation are being expertly managed. The Associate Officers will work closely with all relevant units involved in the Alliance’s Proposal Development Process (PDP) to ensure seamless and efficient proposal development.

Responsibilities

• Proposal Management and Coordination: Lead the management and coordination of all aspects of the proposal development process for large, complex proposals (≥US$2 million) on behalf of Researchers. This includes timeline planning, ensuring adherence to compliance requirements, and managing contributions from various support units.
• Pre-Award Services Coordination: Act as the central point of contact for coordinating all pre-award support services involved in proposal development. Work closely with Finance, Legal, the OPD Proposal Enhancement team, and other relevant units to ensure that administrative, budgetary, and legal requirements are met.
• Opportunity Analysis and Decision Support: Provide strategic and procedural guidance to Researchers by conducting opportunity analysis, helping them make informed go/no-go decisions regarding funding opportunities. This involves evaluating the alignment with organizational goals, the likelihood of success, and the availability of resources.
• Process Management: Oversee the proposal timeline and manage the flow of information between stakeholders to ensure that all necessary steps are completed on schedule. This includes coordinating with Lever Program Management Officers (PMOs), the OPD Proposal Enhancement team, the Project Financial Analysis and Support (PLANS) team, and Regional Partnerships Officers.
• Learning and Improvement: Collaborate with the Head of Science Engagement and Resource Mobilization, PIs, and other contributing scientists to systematize lessons learned from both successful and unsuccessful proposals, aiming to enhance future proposal development processes.

• Assist with planning and organization of events, workshops, and team-related initiatives.
• Contribute to internal newsletters and updates, highlighting team achievements and activities.
• Collect and update information on fundraising activities, tracking proposal status and donor engagement.
• Provide general and ad-hoc support as required by the team.
• Any other duties as assigned by the supervisor

Requirements

• Currently pursuing or recently completed a master’s degree in social sciences, International Development, Business and Administration, Communications, Environmental Studies or related fields.
• Strong organizational and detail-oriented skills
• Strong communication skills, both written and verbal.
• Ability to work both independently and collaboratively, with attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with online collaboration tools (Microsoft Teams; Zoom)
• Familiarity with project management, prior experience with the management of specific projects would be considered an asset
• Familiarity with project tracking or reporting tools is a plus (e.g. Microsoft Teams; Trello; Asana; Monday.com).
